Registration information

Registration

Online registration for the course is opened each year in Q1. Registration occurs using the online form which can be found on the Website (via Aanmelder.nl) which includes a direct payment module. A registration leads to a designated place in a course. It is definitive when the registration fee has been received by the DSATC and when this has been confirmed by the Secretariat. Note that incomplete registration may hinder this process. For more information click here.

The confirmation note from the secretariat DSATC can be used as billing information for the institutional reimbursement, if applicable. Course costs are specific for each professional group. They include the course, lunches, a course dinner, the online access to the online environment and bus transfers to and from: v.d. Valk Nijmegen Lent to the course venue and dinner locations. The “DSATC Manual” is also included in the course price. Note that the course costs listed are without BTW (tax) due to the exemption offer by recognition as an educational organization.

Refunding: In the unlikely event that a complete course must be cancelled, the DSATC Foundation-NL will refund the course costs within 15 calendar days. The DSATC Foundation-NL will not compensate reservations made in hotels, disutility, or travel expenses.

Privacy, Data entry and management, use of intellectual property.

The DSATC Foundation-NL has general terms and conditions. For full information please see the website www.dsatc.eu. Each participant in a course accepts these general terms and conditions as part of registering for a course. If a candidate has questions or concerns, they may contact the DSATC Secretariat for remediation.

In summary, the DSATC reserves the right, and the candidate agrees as part of signing up for a course, to be entered into the permanent, limited access, DSATC database including candidates personal and professional data, dates of participation, affiliation, educational progress, and course outcome. This database will exclusively be used for course and quality assessment purposes and Foundation related activities. The DSATC and its faculty and staff respect the privacy needs of the candidates and hold to confidentiality. The Foundation will not share, sell, or otherwise make available to third parties privacy sensitive information.”

The DSATC Foundation-NL sees the candidate as the contract partner as shall therefore not share information which might be privacy sensitive with outside parties, without the explicit permission of the candidate. The candidates accept and approval of the terms and conditions set out by the DSATC Foundation-NL when they sign up for the course and that their data is entered into the DSATC database. They agree their affiliation (i.e. department, hospital, medical profession) be shared with organizations supporting the DSATC for their own administration.”

Any candidate may refuse to be entered into the database, or request that they be removed from the database, at any time and for any reason. They should make this known as a written objection directed to the “contact” information at the DSATC secretariat. The secretariat will remove the traceable privacy sensitive information from the database after DSATC Board approval. Written confirmation or status will be sent to the candidate with 30 days. The DSATC Foundation-NL, in collaboration with the IATSIC, is owner of the Intellectual Property (IP) of the on-line environment and the specific course content. Access and use of this IP is granted to DSATC course candidates up to a period of one year after following the course.

Terms and conditions of registration

Payment of the course costs must be done in full in one digital bank transfer (via Aanmelder.nl). Full payment and a fully completed on-line form as a candidate are necessary to be enrolled. The confirmation note (bill of sale) of the registration and the reception of the course cost is required to be assured of a place in the course.

After confirmation of registration by the DSATC, there is a statutory 14 calendar day reflection period for the candidate, counting from the day the confirmation note was sent. During this period the registration may be cancelled with full reimbursement. This reflection period also applies if the course costs are provided by the company or the employer of the candidate. In all cases, the reflection period will end when the first educational activity is undertaken. Afterwards our terms and conditions concerning cancellation are applicable.

Course cancellation by candidate after the 14 day period: Regardless of when the registration was performed, ff cancelling before September 15th of the course year, you will be charged a €100,- administration fee. Cancellation after September 15th and before October 18th, you will be charged 50% of the registration fee. When cancelling after October 18th, you will not receive a refund.

Course cancellation by the Foundation: The DSATC Foundation-NL will do everything in its power to facilitate high quality courses every time. In the unlikely event that the DSATC Foundation-NL decides that a course must be cancelled, it will endeavor to inform all those registered within two work days of this decision. Information will be sent using the email address listed on the registration form.

Reasons why a course might be cancelled include: Overriding conditions such as an epidemic or other situation in which the use of the venue becomes impossible, or if is not possible for (part of the) faculty to participate potentially leading to a negative impact on the course quality. A course may be cancelled if it has less than a 75% occupancy measured at one month before the course is to start.

Comments, compliments and complaints procedures

All comments, compliments, complaints, concerns, educational issues, or technical logistic queries which a candidate sends to the Foundation will be handled in confidence. Where natural persons are involved, privacy will be maintained and collaboration will precede disclosure.

The Foundation recognizes that this the protection of the privacy of natural persons may impact the scope of resolution. The Foundation also recognizes that it has no legal or formal standing for direct sanctions for faculty members and/or candidates other than verbal ly or exclusion from further DSATC activities.

Any comments, complaints, concerns, educational issues, or technical/logistic queries must be addresses to the Secretariat DSATC as “DSATC confidential / complaints & comments” (see address and contact information above) An initial reaction will be sent back to the sender within 28 workdays, and will include a brief summary of the issue(s) as described, and a proposal for further procedural steps. A committee ad hoc will be formed, with the case lead, an Educational Committee member and a Board member who were not involved in the issue. A co-worker from RHA, or a past-board member, may be added if further independence seems                                                                                                                                                                                          useful, i.e. in case of an organizational issue.

The procedure has as steps: a) clarification of the issue; b) designation of a principle case                                                                         and members of the committee ad hoc with contact information; c) conversation(s) with other parties potentially involved, including faculty member(s), Course Director(s), and/or other staff; d) discussion in the Educational Committee and/or Board as relevant for the specific issue; e) feedback to the original sender with the intent to inform and reach remediation. This feedback will be done by a Board member together with the case lead, preferentially by video-call; f) a formal letter from the Board with the proposed final disposition of the issue.

The intent for the timing of the feedback is within 8 weeks, starting on the date the issue is received. If, for any reason, this  timeline will not or cannot be achieved, the case leader will inform the sender. Extension will be for one calendar month per extension.

If a satisfactory resolution is not reached, a further procedure using the independent Radboudumc Health Academy (RHA) complaint structure may be used. Their findings are binding. The Chairman of the Board is ultimately responsible for dealing with the issue and monitoring progress. Once resolved the Foundation will destroy all case notes. The final resolution letter, together with a brief, non-privacy sensitive, report of the issue will be filed for a period of 5 years, after which the resolution letter will also be destroyed.
